POSITION PURPOSE:
The therapy office assistant is responsible for keeping the flow of departmental paper work well organized, to expedite departmental communication and support department polices and procedures to ensure smooth, continuous departmental operations.
Qualifications:
Education and
Experience:
At least four years of high school, having taken some business courses.
On the job training with some experience in medical and/or secretarial fields.
Familiar with computerized word processing, spread sheets and database.
KEY ABILITIES:
Ability to interpret, adapt and apply guidelines and procedures.
Work under stressful conditions.
Analyze reports for accuracy.
Interpersonal skills including ability to maintain effective and courteous working relationships in daily contact with patients, family members of patients, employees, visitors, physicians and others.
Remain calm and effective in emergency situation and other stressful situations.
Deal effectively and courteously with all levels of personnel.
Retain confidential HIPPA information and communicate only such facts as the recipients need to know.
JOB FUNCTIONS:
include, but are not limited to:
Performs billing functions and provides patient information to clinicians.
Enters patient charges as needed.
Prints and distributes patient schedules to clinical staff.
Audits billing for accuracy.
Processes orders from physicians.
Completes daily charge journal and total units and visits every day.
Completes end of the month reports.
Uses time efficiently and effectively contributing to the productivity of the department.
Maintain competencies as required by PTS and facility.
Attends required meetings, is on time and contributes in a positive manner.
Keeps self informed of any regulatory changes affecting operations including but not limited to charges, insurance, registration processes.
Maintains clean uncluttered work area.
Relates effectively with the supervisor and constructively receives criticism.
Establishes a professional rapport with patients, family members, staff, and colleagues, using tact, diplomacy, and negotiation in difficult or stressful times.
Takes responsibility for workload without complaining and appropriately helps others out when needed.
Follows established chain of command when dealing with identified problems.
Takes on additional responsibilities as needed.
Performs patient scheduling.
Schedules patient in an organized manner so that the staff has adequate time for evaluations and treatments.
When making next appointments, know which staff is to see this patient, number of visits for that week and length of time needed.
Understands computerized scheduling and is able to efficiently schedule appointments, print schedules and make changes as needed.
Telephone management.
Answer telephone and relay messages to therapists accurately.
Answers telephone with positive attitude and helpful demeanor.
Able to multitask between telephone and patients to manager's satisfaction.
Directs all calls beyond scope of knowledge to appropriate personnel.
Assist therapists with communication regarding new orders, etc.
Faxes, files, copies patient information requested by therapists and external physician offices.
Perform special projects as assigned by department coordinator.
